Export the client list

Download the clients on screen as a CSV, with each one's plan, its status, the date it renews and, for staff who manage payments, what they owe.

Needs the View client email and phone numbers permission.

Under Clients, the Download CSV button at the top of the page downloads the list as a spreadsheet. It is only there for staff who may see clients’ email addresses and phone numbers.

Choose who is in it

The file holds exactly who the list is showing. The chip above the table, the search, and the product, trainer and service filters all carry over into it.

The list opens on Active, so downloading straight away gives you your active members. Choose All first for every client, or pick a product in All products for the people on one plan.

What is in it

One row per client, with these columns:

  • full_name, email, phone and date_registered, the day they joined. These four always come first, in this order.
  • current_plan: the membership they are on, or a pack with sessions left in it if they have no membership. Empty if they have neither.
  • subscription_status: the membership’s status, such as active, trialing or past_due (a payment has failed). One set to stop at the end of the period it has been paid for reads cancelling.
  • renews_or_ends_on: the date the period they have paid for ends. That is when it renews, or, for one reading cancelling, when it stops.
  • balance_owed_euros: only in the file for staff who can manage payments. What the client owes, such as late cancellation and no-show fees, which is added to their next invoice. A negative number is credit in their favour.

A client with more than one membership still has one row. Their memberships are listed newest first, separated by ` | `, in the same order in the plan, status and date columns.

For a row per membership instead, the Subscriptions tab has Download all: every live membership and every pack with sessions left in the gym, with the client’s balance beside each. It is there for staff who can manage payments, and it ignores the filters on screen.
